Happy Campers Events Coordinator’s Responsibilities
Happy Campers Events Coordinators have an extensive list of responsibilities, all of which are aimed at facilitating a seamless wedding day. While many of the responsibilities are dependent upon the details of each individual wedding, here are a few examples of a wedding coordinator's basic tasks:
Put together the client's wedding day timeline:
Using various sources of information, we will be able to craft a fail-safe timeline of your wedding day; so we do not end up with a 3-hour-long cocktail hour and only an hour-long reception.
Handle vendors questions or concerns:
The last thing you want is for your vendors to be hounding you for information while you're trying to get ready and are supposed to be enjoying your day without sweating the details. As your Coordinator, we will be checking in with each vendor frequently on your behalf on the day of.
Make sure all necessary items are in place:
Unity candle has a lighter at the altar, cake knife is near the cake where it will be cut, His and Hers Flutes will be placed at the sweetheart table etc.
Make sure anyone with a special role is prepared:
Happy Campers Events Coordinators will make sure Uncle Bob is where he’s supposed to be when the Emcee introduces him for the Blessing Prayer over dinner, instead of him being in line at the bar or off somewhere on a cigar break !
Keep the day's events on track:
If events start falling behind because Aunt Karen wants to talk your ear off, Happy Campers Events will kindly tell her that you’re needed for the next activity, and you will catch up with her later. This way you don’t miss out on any of the special moments that you have planned for your special day.
What Happy Campers Events Coordinators are not!
Wedding coordinators are not full wedding planners. Coordinators can help you with limited questions regarding seating charts, décor ideas, color combinations etc.
Wedding Planners on the other hand are heavily involved with planning your wedding. They will help create your seating chart, plan out your decor, attend multiple vendor meetings, tastings, dress fittings and manage your budget and the guestlist.
Those are not tasks Happy Campers Events Coordinators get involved with. We take those plans created by you or your planner; and fine tune them into our Day of Timeline, to ensure the plans are unanimously understood by all parties, and make certain they happen on the day of your event.
Happy Campers Events Coordinators and Staff are not all in one vendor’s
Don’t get me wrong, Happy Campers Events Coordinators & Staff will bend over backwards for you to ensure your wedding day is nothing less than perfect and, in a predicament, we will step out outside our roles and do the job of another vendor if the circumstance calls for it. But spending time doing the jobs of other vendors can take away time from Happy Campers Events Coordinators & Staff's abilities to effectively do the jobs you’ve hired us to do.
Happy Campers Events Coordinators are not venue coordinators.
Some venues come with their own coordinators. Venue coordinators typically handle all venue specific tasks, such as ensuring tables and chairs are set up properly, managing in-house caterers or bartenders and coordinate cleanup services. Venue coordinators work for the venue, I work for you!
